Why Slow Replies Are Costing You Jobs (and How to Fix It)

Published 20 September 2026 · Success With Us

The first business to reply usually wins, even when it is not the cheapest. Speed reads as competence. Silence reads as a business that does not want the work, and customers move on without telling you.

Why slow replies lose work

Local service enquiries are usually sent to three businesses within a few minutes. Whoever answers first sets the benchmark for price and professionalism that the others have to beat.

A reply four hours later is not compared with a fast competitor. It is compared with a memory of one, and it rarely wins.

Answer the moment you cannot

You will not answer while working. An automatic acknowledgement that names the customer, confirms what they asked and sets a real expectation does most of the job.

Follow with a human reply within a couple of hours, even if it only confirms availability and the next step.

Put every enquiry in one place

When leads live in a phone, an inbox and three social inboxes, some are simply forgotten. One logged list with a status and a follow-up date fixes that.

Follow up on every quote at least twice. A large share of jobs are won on the second contact, after the customer has stopped comparing.

Speed is a system, not effort

Templates for the three most common questions, a booking link in every reply and a notification on your phone are worth more than trying to be more disciplined.

Measure it. Note the time between enquiry and first reply for a week, then reduce it. Most businesses find the gap is far bigger than they assumed.

The short version

Acknowledge in seconds, reply within hours, keep every lead in one list and follow up twice. Speed is the cheapest competitive advantage available.

Common questions

How fast should I reply?

Within minutes for an automated acknowledgement and within a couple of hours for a real reply. Under an hour during working hours is a strong target.

Do automated replies annoy customers?

Not when they are specific and set a clear expectation. Generic 'we'll be in touch' messages do.

What if I am on site all day?

Acknowledge automatically, then reply in a batch at a set time. Two clear windows a day beats sporadic answering.
